Account heads and accounting settings

Set up what the Profit & Loss and Balance Sheet need besides your parties and documents: your financial year, your own heads with opening balances, and direct or indirect expenses.

How to

  1. Accounts → Account Heads. Under Settings, check the Country and when the Financial year starts. Tick "Tax paid on purchases can be claimed back" if you claim GST or VAT input. Press Save settings.
  2. Under Your account heads, add each head you have: a Name, the Group (Capital, Loans taken, Fixed assets, Loans and advances given, Other income …), and its Opening balance with Dr / Cr. Press Add head.
  3. Under Expense categories, set each one to Direct or Indirect.
  4. Under Cash and bank accounts, set each account to Cash or Bank. Each one gets its own Cash & Bank Book.

Good to know

  • The standard heads (Capital Account, Drawings, Repair Income, Exchange Difference and others) are created for you. You can rename them but not remove them.
  • A head that already has entries is archived, not deleted, so old entries keep it. Restore brings it back.
  • Cash and bank accounts are added under Parties, on the Accounts tab, with their opening balances.
  • Leave Dr / Cr on As usual unless the balance is the other way round from normal (an overdrawn loan given, for example).
